Quick answer: If a user can't see some items, the items are usually linked to a Business Unit that restricts viewing to its own members. Check the Business Unit's settings. Users who need to see drafts (for example board members) need Policy Editing and Process Editing permissions.
Users can't see some policies or processes
1. Open one of the items the user can't see and check which Business Unit it's linked to.
2. Check that Business Unit's viewing and editing setting. If viewing is restricted to the unit, anyone outside it can't see the item.
3. If everyone should be able to view the items, choose a setting such as Anyone in org can view, but only reporting/affiliated to Unit can edit. The setting applies to everything linked to that Business Unit, including register items.
| Tip |
| Want everyone to see all policies, but keep incidents and other register items restricted? Use separate Business Units for register items and for content, so each can have its own setting. |
Board members or reviewers can't see draft items
Users with Process Viewing permission only see published items. To let someone see drafts without making them an administrator, give them Policy Editing and Process Editing permissions under People > Users.
Only some staff should see the registers
Set up Business Units for your register items and choose the right visibility setting. See Guide: Manage Business Units (BU) for Registers.
Note: Roles don't restrict what people can see. They only affect which items are suggested to users. Users with full administrator permissions can see and edit everything.
