Quick answer: Deactivate users who leave. Deactivated users can't sign in or receive emails, but their records (such as completed required reading) are kept and they can be reactivated at any time. Deleting a user is permanent and can't be undone, even by our support team.

| Records kept (required reading, knowledge tests and so on) | Yes, with no expiry date | No |

Deactivate a user
1. Go to People > Users and open the user.
2. Untick Activated.
3. Click Save.
Reactivate a user who returns
1. Go to People > Users and open the user.
2. Tick Activated and click Save.
3. Send them a password reset if they need a new password. Their previous records will still be there.
| Important |
| A deleted user can't be recovered. If you're not sure whether you'll need someone's records again, deactivate them instead. |
More questions
Is there an easy way to tell deactivated users apart? Some organisations add "archived" to the user's name when they deactivate them, so they're easy to spot in lists.
Do deactivated users still have their roles? Yes. Their roles stay on their profile, which can stop a role from being deleted. Remove the role from deactivated users first if you want to delete it. See How do I delete a role?.
