Release 4.3.0 includes enhancements to a variety of existing features in order to provide additional functionalities and detail
The enhancements include:
- additional email notification features
- content fields for incident, complaint, improvement and feedback registers
- linking between different item types
- user permissions
- additional report download capabilities.
Additional email notifications
There are now a variety of new email notifications that can be enabled and disabled in Admin > App settings.
Incident / Complaint / Feedback / Improvement has been assigned to your position email
Users with Administration and Model Administration permissions are now able to send out emails about different register items (i.e. incidents, complaints, feedback and improvements) to different position holders within the system.
These notifications are sent out to users with Incident & Improvement manager permissions that have a position assigned. Emails are sent out each day at 9pm AEST.
Content is due for review email
Users with Model Administration can now receive email notifications at 6:10 AM AEST regarding items that are due for review that day.
Audit assigned email
This email notification is sent out to users with Audit Data Entry permissions if they have internal audits that were assigned for everyone to complete, or assigned to them specifically, at end of each day at 9:10PM AEST.
Additional register fields
Complaint, incidents, feedback and improvement registers have had additional fields added to the forms within the web app.
Incident forms have been updated with the following fields:
- other (non-recipient) & Relationship to organisation
- witnesses
- when incident was reported
- relevant policy/regulation
- closing comments
- satisfactory resolution – Not yet resolved, Yes, Partially, No, Not applicable (default)
- return to work.
Complaint forms have been updated with the following fields:
- when complaint received
- relevant policy/regulation.
Feedback forms have been updated with the following fields:
- when Feedback received
- position responsible
- relevant policy/regulation.
Improvement forms have been updated with the following fields:
- originating items (this was originally ‘Originating from’ but has been renamed)
- originating activities
- relevant policy/regulation
Linking improvements
The policy form now has a field linking the policy to the process, this will show links from the main policy to the process (main step) and vice versa.
The regulation form now has a field linking the regulation to a policy or policy section.
Improvements to user permissions
The following permission functionalities have been updated:
- users with Model Administration can do all actions for required reading as Administration users
- users with Editing permissions can include/exclude items from required reading.
Report download updates
Register PDF reports
The register item types (incidents, complaints, feedback and improvements) now have PDF reports available.
Internal audit in to-do and approved spreadsheets
Users can with Audit Approval permissions can now download spreadsheet reports of audits that are still to be done, as well as approved audits.
Register item report spreadsheets include additional fields
Incidents, complaints, feedback, improvement downloadable spreadsheet reports have been updated to accommodate the new fields that were added for this release. A summary of the new properties is recorded in the table below:
