Quick answer: Answers to common questions about the incidents, complaints, feedback and improvements registers: who can see what, dates, downloads, anonymous complaints and what can be customised.
Finding and using the registers
Where are the registers? On the Report & Improve tab.
Can staff see an incident after they've reported it? Staff with Process Viewing permission can submit incidents, complaints and feedback, but they can't see the register list or view the item afterwards. Investigation and management notes stay hidden from them.
Why can a team leader see other teams' incidents? Who can see an item depends on its Managing Business Unit. Check that every incident has a Managing Business Unit filled in, and that team leaders don't have full Administration permission, because administrators can see everything.
Can an item have more than one Managing Business Unit? Each Managing Business Unit field takes one Business Unit. You can add other Business Units in the Details and Actions sections.
Why doesn't the created date match the incident date? The created date on the Properties tab is when the item was entered in Centro ASSIST. The incident date on the Details tab is when it actually happened, and it can be backdated.
How do I download items for one Business Unit or one participant? In list view, filter the Business Unit or Service recipient column, click Download and choose Filtered items.
Can someone make an anonymous complaint? Enter "Anonymous" in the name fields instead of a name. Other users won't see who submitted it, but administrators can still see who created the item on the Properties tab.
The Business Unit column has disappeared from the list. Your screen is probably too narrow to show every column. Zoom out (hold Ctrl and scroll down, or press Ctrl and minus) and it will reappear.
Settings and customising
Can we stop staff raising complaints, or limit who can add register items? Yes. Contact us and we can limit adding and editing register items to users with the Incident and Improvement Manager permission, or switch off raising complaints for non-administrators.
Can we remove registers we don't use? Yes. Contact us and we can remove individual registers, for example so you only have Feedback.
Can we stop users deleting register items? No. There isn't a setting to hide the delete button, but users must confirm before anything is deleted.
Can we add our own categories? Yes. Administrators can add and edit categories under Admin > Categories. See Create and use a register category.
Can we add custom fields, make fields compulsory or select more than one incident type? Not at the moment. We've passed these requests to our product team.
Can we import our existing incident or risk register? You can't import register items yourself. Contact us to talk about options. In the meantime, you can upload your existing register spreadsheet to Documents so you can show it to your auditor.
