Knowledge test management
Users with Model Administration and Administration permissions now have access to a new interface that allows them to manage knowledge tests. This includes the ability to:
- re-trigger knowledge tests for completion
- assign knowledge tests to users via roles (now aligns with the set-up of the required reading feature)
- edit the name, description and relevant material of knowledge tests
- activate and de-activate knowledge tests.
The previous way of assigning knowledge tests to users through roles has been changed. Knowledge tests can now be assigned directly to roles using the knowledge test management interface.
- If no roles are assigned to a knowledge test, the test will be visible to all roles.
- If a test is deactivated, it will not be visible to any users.
- Once a role is added to a knowledge test, only users with that role will be able to see the test

Change management for existing knowledge test customers
For customers with the knowledge testing module, these enhancements result in a change to how knowledge tests are assigned to users as well as what completion information is displayed in the ‘knowledge test scores’ spreadsheet export.

For knowledge tests with roles assigned
Impacts
The knowledge tests will continue to be displayed only to the users with those roles assigned.
Actions
No action required.
For knowledge tests without roles assigned
Impacts
These tests will be displayed to all users (note this was how the feature worked prior to Release 4.5)
Actions
If you want the test to be hidden for all users:
- Go to Admin > Knowledge Tests and open the knowledge test
- Click edit
- Deactivate the knowledge test checking the tick box at the bottom of the page
- Click save
If you want the test to be displayed to only some users:
- Create/edit the applicable roles
- Assign the applicable roles to the users
- Go to Admin > Knowledge Tests and open the knowledge test
- Click edit
- Assign the applicable roles to the knowledge test in the “WHO TAKES THIS TEST” section
- Click save
For knowledge tests without roles or relevant material assigned
Impacts
These tests have been deactivated and will be hidden from all users. Deactivated tests will not appear in the ‘knowledge test scores’ spreadsheet export.
Actions
If you want the test to be displayed to all users:
- Go to Admin > Knowledge Tests and open the knowledge test
- Click edit
- Assign relevant material to the knowledge test (for information purposes only)
- Activate the knowledge test by unchecking the tick box at the bottom of the page
- Click save

Changes to knowledge test reports
Knowledge test Excel reports have been updated to suit the latest updates to the knowledge testing feature.
The following changes have been made to each knowledge test sheet:
- knowledge tests still to-do sheet
- added a new tests in to-do column (if no attempt made on assigned knowledge tests)
- added a new tests in re-do column (if last attempt failed, or last attempt passed but has since been retriggered)
- knowledge tests passed sheet
- a new column has been added to record test that have a ‘pass’ status (if tests have been passed but have not been re-triggered for testing)
- user summary sheet
- removal of the column recording the average scores.
Date range filters on lists
List view for all items that have date information now has the option to filter items by date range and download items in that range.
The user can filter the information in the following ways:
- no start date but until a specific end date, e.g. Any – 13 Nov 2022
- specific start date but no end date, e.g. 5 May 2022 – Any
- specific start and end dates, e.g. 3 May 2022 – 13 Nov 2022
Excel spreadsheet styling improvements
Downloadable spreadsheet reports now have pre-set column width to ensure information is easy to read and analyse.
