Quick answer: Roles decide who should receive or complete something, such as required reading and knowledge tests. Positions decide who is responsible or accountable for something, such as approving, owning or reviewing content and process steps.
| Roles | Positions | |
| What they represent | What a user does or is responsible for | A function or stakeholder position in your organisation |
| Examples | Often match job titles, tasks or groups of users, for example Support Worker, Payroll, Onboarding | For example CEO, Quality Manager, Compliance Officer |
| Main uses | Required reading, knowledge tests, and assigning tasks or content to groups of users | Responsibility, accountability, ownership, approval and review of content and process steps |
| Users | A user can have many roles | A user can be linked to one or more positions |
| Focus | Who should receive or complete something | Who is responsible or accountable for something |
| Tip |
| Roles don't restrict who can see content. To control who can view or edit items, use Business Units. See Why can't a user see some policies or registers?. |
Common questions
How do I assign required reading? Required reading is assigned through roles. See Assign Required Reading.
A position looks empty after I published it. A published position only lists responsibilities from items that are also published. Responsibilities on draft items appear once those items are published.
